Penthia Solutions LLC respects your privacy. This policy explains how we collect, use, store, and share information when you visit penthiasolutions.com, contact us, request a quote, submit a support request, or otherwise interact with Penthia Solutions.

Summary

This website does not use advertising trackers, analytics services, or cookies. We do not build profiles of visitors and we do not sell personal information. Along with information you choose to send us, we process limited technical information associated with submitted inquiries for security and abuse prevention.

Information we collect

Information you provide

We may collect information you voluntarily submit, including:

  • School, business, or organization name
  • Job title or role
  • Mailing, billing, installation, or delivery address
  • Product interests, requested sizes, quantities, and configurations
  • Budget or purchasing timeline
  • Technical, network, installation, and delivery requirements
  • Messages and files submitted through our forms
  • Support requests, including photographs, videos, serial numbers, and diagnostic information
  • Communications sent by email, phone, text message, or other channels

Please do not submit sensitive personal information unless it is necessary for your request.

Technical information associated with form submissions

When you submit a contact or quote form, we may process your IP address, approximate city, region or state and country derived from IP/network information, browser/user-agent information, referring page where available, submission timestamp, originating form/page URL, and a server-generated request identifier used for security, troubleshooting, and abuse prevention. We remove query strings and fragments from recorded page URLs and referrers. Some information may be unavailable or inaccurate.

IP-derived location is approximate network geolocation, not an exact physical address or precise GPS location. We do not request your device's location permission. We do not use browser fingerprinting or collect this form metadata as site-wide visitor tracking.

This technical information may be stored together with the inquiry in Formspree and included in the notification email we receive. Browser and referrer information can be omitted or altered by the sender and is not proof of identity. We also use short-lived security information, including request counts and keyed digests, in server memory to rate-limit repeated requests and detect duplicate submissions. These temporary controls do not create a persistent visitor identifier or store form metadata in your browser.

Information you enter into our AI assistant

Our website includes an AI assistant that answers general questions about our products. When you use it, the following is transmitted to our backend service and then to our AI provider so a response can be generated:

  • The messages you type
  • The page you are on, including its address and title
  • Nearby headings and an excerpt of the visible page text, when you use the highlight-to-ask feature
  • Content from other pages of this website, used to help answer your question

Do not enter passwords, financial account numbers, student records, or other sensitive personal information into the assistant.

Information collected automatically

Our hosting provider records standard server request information such as IP address, browser type, and the pages requested. This is ordinary web server activity.

Our AI assistant service temporarily holds the IP address of incoming requests in memory in order to limit the rate of requests and prevent abuse. This information is not written to disk, is not linked to your messages, and is discarded when the service restarts.

Cookies, analytics, and tracking

This website sets no cookies. It uses no analytics service, no advertising tags, and no tracking pixels or beacons.

The site stores a small amount of information in your browser's session storage so that features work while you are visiting:

  • The recent messages in your assistant conversation, so the panel does not lose them as you move between pages
  • Whether the assistant panel was open
  • Whether you have dismissed the assistant introduction
  • Whether you have already seen the product finder popup

This information stays in your browser, is not an identifier, is not sent to us as a set, and is erased automatically when you close the tab. If your browser blocks storage, the site still works.

Guest cart and configuration checks

The guest cart stores product and option identifiers, quantities and a catalog version in local storage on your device. It recalculates displayed prices from the current catalog. It contains no contact or payment details. The cart can persist after closing the browser on the same website origin. Clearing browser data, private browsing, a different device or a different website hostname can remove or separate it. If storage is unavailable, persistence is limited and the cart shows a notice.

Contact and quote forms send the information you submit to Penthia through Formspree on the production website. Protected Preview builds validate forms without sending an external message. A quote request may include an editable summary recovered from your validated guest cart. Entered contact fields are not saved in browser storage. Submitting a form does not create an order or take payment. The website does not set tracking cookies; Vercel deployment protection can use its own authentication cookies.

Service providers that receive information

  • Typefaces on this website are served from the same website; your browser does not need to contact Google Fonts.
  • Formspree processes submissions from our contact and quote forms and delivers them to us. It receives the information you submit and the associated technical metadata described above, storing them together as a submission and, where supported by our notification settings, including them in the email sent to us.
  • Anthropic provides the AI model behind our assistant. Your assistant messages and the page context described above are sent to Anthropic for processing. Your browser does not contact Anthropic directly; the request is made by our backend service.
  • Vercel serves this site as our website host and runs our backend functions. Our form endpoint processes submitted information and obtains the request IP address and approximate network geolocation from Vercel before forwarding the inquiry and metadata to Formspree. We do not send IP addresses to a separate geolocation service.
  • Microsoft provides our business email, including receipt and storage of form notification emails that may contain inquiry and technical information.

Each provider maintains its own privacy practices, which govern how it handles the data it receives.

How we use information

We use information to respond to questions, prepare recommendations and quotations, process and fulfill orders, coordinate manufacturing, shipping, delivery, installation and support, provide customer service and technical assistance, investigate warranty or shipping claims, communicate about orders and services, improve our website and products, prevent fraud and abuse, maintain business and accounting records, comply with legal obligations, and enforce agreements.

For form submissions, these purposes include operating the website; detecting and preventing spam, fraud, and misuse; protecting Penthia, its systems, and users; investigating suspicious or abusive submissions; enforcing applicable terms; and maintaining appropriate business and security records. We may use reasonable technical measures to restrict or block repeated abuse. Approximate location alone is not a reason to block a submission.

We do not sell personal information.

Quotations and orders

Preparing and fulfilling a quotation or order may require us to share relevant information with manufacturers, suppliers, freight and customs providers, installers, technical support providers, payment processors, insurers, professional advisers, and other parties involved in the transaction. We limit what we share to what is reasonably necessary.

Payment information

Payments are made by bank transfer, ACH, check, or through a payment link issued by our bank. Card details, where a card is used, are entered on our bank's payment page, not on this website.

We do not collect or store payment card numbers or security codes through this website. We may receive limited transaction information such as customer name, payment status, amount, date, and confirmation number.

Communications

We may contact you about a quote or product request, an existing or potential order, delivery or installation, technical support, warranty service, or important policy changes. You may ask us to stop sending non-essential promotional messages. Service and transactional messages may still be sent when necessary.

Data retention

We retain information for as long as reasonably necessary to respond to requests, maintain customer and order records, provide support, manage warranties, meet tax and accounting obligations, resolve disputes, and enforce agreements. Inquiry and associated security information are retained only as reasonably necessary for responding to inquiries, business recordkeeping, spam and abuse prevention, security investigations, resolving disputes, enforcing applicable terms, and meeting legal obligations. Retention periods vary by information type and purpose; we do not promise a fixed automatic deletion schedule.

Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No website, email system, or internet transmission can be guaranteed completely secure.

Children's privacy

This website is intended for educators, administrators, technology staff, purchasing personnel, and other adults. It is not directed at children, and we do not knowingly collect personal information from children under 13. Penthia does not operate a student-facing service and does not collect student records through this website.

A parent, guardian, or authorized school representative who believes a child has submitted personal information may contact us at info@penthiasolutions.com to request review or deletion.

Schools and procurement

If your institution requires a data processing agreement, a vendor privacy questionnaire, or documentation for procurement review, contact us and we will work through it with you.

Third-party websites

Our website links to third-party websites, including social media profiles. Penthia does not control their content, security, or privacy practices. Their own policies apply.

Your choices and requests

Depending on applicable law, you may ask us to confirm what personal information we hold, correct inaccurate information, delete certain information, provide a copy, or stop promotional communications.

Some requests may be limited where information must be retained for legal, contractual, accounting, warranty, or security reasons. We may need to verify your identity first.

We may update this policy when our website, service providers, or legal obligations change. The revised version is posted here with an updated date. If we add analytics, cookies, or any new third-party service, this page will be updated before or when that change takes effect.
